Should we do a yearbook?

Determine if there is enough interest in your school. The minimum number of books you may order is 50 for smaller page counts. Send home a survey with the students asking their parents if they are willing to purchase a yearbook and how much they are willing to spend.

Determine if you want a color or a black and white book. Color books are more expensive.

Standard Plan-Walter's staff does all page assembly for the school. This plan is fast and easy and all you need is the portraits from your photographer. Walter's provides a free kit that includes templates, backgrounds, borders and clip art that can be used for each page, our Standard Plan Yearbook Directory with complete instructions, page envelopes, colored design paper, and much more. Your photos are scanned and sized to fit each template you select at no additional charge. You submit your text to us on a disk. All montage pages need to be camera-ready. They are scanned and included in your book. You can also paste-up other pages if you can't find a template that will work. After we receive your materials, Walter's professional design team assembles your yearbook based on your specifications and sends you a free proof to check for errors or make changes.

Cut and Paste Plan-If you love to do scrapbooking then this is the plan for you. Camera-ready pages are submitted for this plan. Your own background paper and clip art can be used. For color books, you will receive colored design paper, clear acetate and black paper to use for paste-up. Black and white books receive clear acetate and white paper to use for paste-up. We provide a grid sheet for alignment purposes, but not to paste on. Proofs are not given for Cut and Paste books unless requested.

Total Digital Plan-This yearbook is completed by using PageMaker®, InDesign®, or QuarkXPress™, Photoshop® and a scanner to scan your photos. You will receive a CD with our templates, backgrounds, borders, clip art and fonts. You have the freedom to create your own page layouts. With this plan you are submitting completed digital documents with photos in place and a folder with all images collected. Proofs are not given for Total Digital books unless requested.

How do we put it together?

Determine the approximate number of pages you will need in the book. This information is based on the number of students and staff members, number of grades, extra curricular activities and other pages you might want in the book.

If you plan to use portraits from your school photographer, we suggest you contact the photographer at the beginning of the school year. Arrange to have your portraits available as early as possible, as you will need them to begin page layout.

If your plan includes using candid photos taken by staff and/or students, be consistent as to the kind of film you use. This will assure better reproduction. For black and white books, it is best to use black and white photos; however, you may use color photos.

How do we organize our yearbook staff?

Assign committees: ie. coordinator, publicity (advertising and sales), photography, design and layout, proofing, bookkeeping.

We suggest the staff include both an advisor and an assistant advisor. Please contact us early to tell us who the two advisors are and how to contact them. Please include home phone numbers and email addresses. This will avoid delays when publication time comes and timing is crucial.

It's best if the staff meets at the beginning of the school year to schedule times and dates for regular staff meetings. Weekly meetings are recommended to keep your yearbook on schedule. The free Yearbook Directory has convenient pre-designed memos to photocopy and hand out as meeting reminders.

What steps should we take to assemble our book?

If possible, it is always the best idea to send in the actual photograph or digital images for Standard or Cut and Paste Plan books. If you are using the Total Digital or Standard Plan, you can have your photographer supply your high-resolution portraits on a CD or you may scan them yourself. Other kinds of paper printouts (inkjet printouts, photocopies, etc.) do not reproduce well.

Following the Yearbook Directory you create your yearbook according to the instructions of the plan you have chosen to use. This can be done through school curriculum, your parent/teacher organization or perhaps just volunteers.

Using your committees you can put the book together in stages. For example, at the beginning of the school year you could put together the classroom pages, and then as each activity, school event or sporting season goes by add those pages to your book.

What process do I follow to get my book printed?

Complete the Yearbook Checklist for the plan you are using. Complete the Yearbook Production Form. Gather all the publication materials and send them to Walter's. Standard Plan and Cut and Paste Plan books will be shipped within 48 working days after Walter's receives your materials. Total Digital Plan books will be shipped within 48 working days after Walter's receives your materials. If submitted as PDF files, your books will ship within 35 working days.
